Cancellation Policy

We know plans can change. This policy explains what happens if you need to cancel or change your booking, and what happens in the rare event that we have to cancel a departure.

1. If you cancel

If you need to cancel, the following charges apply. They are based on how many days before departure we receive your written cancellation, and are calculated on the total trip cost:

Any amount you have paid above the cancellation charge will be refunded.

2. How to cancel

Please email your cancellation to hello@agapevoyages.com from the email address used for the booking. The cancellation takes effect on the date we receive it, and we will confirm it in writing.

3. Items that can't be refunded

Some costs cannot be recovered from suppliers once paid, whatever the date of cancellation. These are not refundable:

  • Flights once ticketed
  • Visa fees and other government fees
  • Special permits, such as national park, conservancy or event permits, where applicable
  • Any items marked as non-refundable in your quote or booking confirmation

4. Transfers and name changes

If you can no longer travel on your chosen date, you may transfer once to another departure of the same journey, subject to availability. Transfers requested more than 60 days before departure are free. After that, they are treated as a cancellation.

You may also transfer your place to another person, provided they meet the trip's requirements. A name change fee may apply to cover supplier and airline charges.

5. If we cancel

We may cancel a group departure if it does not reach the minimum of 10 travellers. If so, we will tell you no later than 45 days before departure. We may also cancel for reasons of safety or events beyond our control.

If we cancel, you can choose a full refund of all money paid to us, or a transfer to another departure or journey. We are not responsible for costs you have booked independently, such as international flights, which is one more reason travel insurance is essential.

6. Events beyond our control

If a trip cannot go ahead because of events beyond anyone's reasonable control, such as natural disasters, epidemics, civil unrest or government travel restrictions, we will offer a transfer to a future departure. Where possible, we will also refund the money we can recover from suppliers.

7. Unused services

No refunds are given for any part of a trip that you choose not to use once it has started, such as missed activities, meals or nights.

8. Refunds

Approved refunds are made within 14 working days of the cancellation being confirmed, to the original payment method wherever possible. Bank or gateway charges and exchange-rate differences are not refundable.

9. Tailor-made trips

Tailor-made trips may include hotels, lodges or flights with stricter conditions. Any cancellation terms that differ from this policy will be clearly stated in your quote, and those terms will apply.

10. Travel insurance

We strongly recommend taking out travel insurance with cancellation cover as soon as you book. It is a condition of joining a group journey, and in many cases can recover your cancellation charges.
